What is Court Reserve?

 

Court Reserve is the online registration and booking system that the Quinte Tennis Club (QTC) uses to manage its membership and facilitate court booking.

The Club has put together a list of Frequently Asked Questions on how to use the system. You can browse through the questions or search this page for a particular subject.

Basics

Q:  How do I log in to Court Reserve?

1. Click on the following link https://app.courtreserve.com/Online/Portal/Index/11240

2. Use the LOG IN button to sign in

3. Your Username is the email that you gave the club at registration

4. Click the Forgot Password? link if you need to retrieve your password. A link will be sent to your email to allow you to reset your password. Check your junk folder if you don't see it.

5. When you have the proper login credentials, return to the Login screen and log in.

6. Please check we have the correct info for you, so that we will be able to re-invite you to join the Club next year. Hover over your name once you have logged in, then select Personal Information and confirm/correct the info.

 

Q: How do I sign up for Clinics/register for clinics or programs?

The Clinics signup works best from a browser.

 

1. Login to Court Reserve at https://app.courtreserve.com/Online/Portal/Index/11240

2. Hover your cursor over Clinics and click on the category of Clinics you are interested in signing up for; for example: Kids Camp.

3. If you are on a browser, click Details to see what the clinic is like, and then click on Register if you want to sign-up.

 

 

Q: I can't see all the Court Reserve menu options. Where are they?

Court Reserve works best on a browser in full screen. If you are on a minimized screen, click on the three horizontal lines in the blue square to reveal more menu options.

This will give you a menu with Home, About QTC, Club Information, Book a Court, Instructors, Lessons, Clinics, Social Tennis, News, Code of Conduct and your name.

From this menu, click on <My name> to find Personal Information, My Family, My Bookings, Calendar Feed, My Membership, Billing, Payment Profiles and My Organizations.

 

Q: How do I update my Personal Information in Court Reserve?

From a computer, hover your cursor over <My name> and then select Personal Information; edit the info and click on SAVE before exiting.

 

Q: How can I keep up with club news?

If you want to get club emails, including news of events, make sure you have NOT ticked the Unsubscribe from my Club/Organization's Emails/Alerts/Newsletters box under Personal Information. The Club will also post news on our website.

 

Q: How do I control the number of emails I get from Court Reserve?

If you feel you are getting too many emails from Court Reserve:

Hover your cursor over <Your name>, click on Personal Information and click on the Notifications tab to uncheck the notifications that you don't want to receive.

Please be aware that if you take yourself off our list you may not receive invitations to renew your membership. 

 

Q: Is there a mobile app?

There is a Court Reserve mobile app that is available from the App Store (for iPhones) or Google Play (for Android). This is a great way to book a court, modify or cancel your booking while you are on the go. Find the links for downloading the mobile app here - https://courtreserve.com/mobile/


How to Book

 

Q: What are the Court Reserve reservation rules/restrictions?

Courts can be booked 7 days in advance. Only one court per reservation can be booked. Two reservations are allowed per day with 7 allowed per week. Singles play is for one hour with 2 names on the reservation and doubles play is for two hours with 4 names on the reservation.

 

Q: How do I book myself a court?

Book as far ahead as the system allows to secure the court time you want.

Login to your Court Reserve account at https://app.courtreserve.com/Online/Portal/Index/11240 or in the app.

Select Reservations (web browser) or tap Reserve (app).

Select Book Courts. You will be presented with the booking grid for the current day. Use the arrows or calendar to change dates.

Click on RESERVE on the court and time that you want to book.

Select a Reservation type:

Singles – you and one other member

Doubles – you and 3 other members

Select a Duration.

Add the required number of Additional players.

For each additional player, type the member's name in the text box; you will receive a dropdown list of names that match your entry; select the desired player.

Press Add Player.

Press SAVE to complete the reservation.

You will receive a confirmation email.

  

Q: I am a non-member Guardian; how do I book a court for my child?

Log onto your Court Reserve account

Click on Book a Court

Click Reserve on the booking grid, choosing the date/time/court you want.

On the Book a reservation screen, click on the little triangle at the side of the Reserve for box, and select your child's name.

 

As you are booking for your child from your account, your name would be the default and you need to switch to his/her name, as you have no booking rights since you are not a member. If your child wants to play with another club member, select the reservation type Singles and type the member's name in the Additional Players text box. Complete the rest of the information and press Save.

 

Q: I am a member; how do I book a court for my child to play with others?

If your child does not have login privileges and you wish to book on his/her behalf, follow the steps below.

(If you wish to allow him to book a court, see the FAQ under Managing Family ->How do I edit my account to allow my child to book?)

Log onto your Court Reserve account.

Click on the Book A Court button (or on Reservations and then Book a Court if you are in the mobile app).

Click Reserve on the booking grid, choosing the date/time/court you want.

On the Book a reservation screen, click on the little triangle at the side of the Reserve for box, and select your child's name. (This is the Create Reservation screen in the app - tap on the Reserve for box and select your child.)

Continue the booking as you would do for yourself.

 

Q: How do I book a court with guests?

Use the Singles with Guest or Doubles with Guest Reservation type, pay the $20 guest fee per person, by credit card when you book.

NOTE: Any bookings with guests should be added at least 30 minutes prior to the start of the reservation so that there is enough time to pay the guest fee.

 

Need more detailed instructions? Here they are:

Select Reservations, then Book a Court from the top menu bar; you will be presented with the booking grid for the current day; use the arrows or calendar to change dates

Click on the Reserve button for the court and time that you want for your start time

Select a Reservation type:

a.    Singles with Guest – you and one non-member guest

b.    Doubles with Guests – you and up to 3 non-member guests – total number of players between members and guests must be 4

Select a Duration

Indicate # of guests – enter a minimum of 1; For each guest:

Enter guest first name, last name and optionally, telephone #

Add the required # of additional members to make up at least the minimum # of players for the booking type

For each additional player, type the member's name in the text box; You will receive a dropdown list of names that match your entry; Select the desired player

Press Add Player

Press save to complete the reservation

The $20 guest fee must be paid by credit card within 15 minutes, or the system cancels the booking.

NOTE: Court Reserve does not allow you to edit a non-guest booking to add a guest. Instead, you must delete the original booking and replace it with the Singles with Guest or Doubles with Guest Reservation Type to book your guest.

 

 

Q: How do I change a singles or doubles booking to add a guest?

Delete your original booking

Rebook using the Reservation type Singles with Guest or Doubles with Guest as appropriate.

Pay the $20 guest fee by credit card when prompted in Court Reserve.

 

Q: What are booking restrictions on guests?

The $20 guest fee in Court Reserve is charged PER person.

  

Q: What happens to the guest fee if it rains/courts are unplayable? Do I get it back?

If the staff cancels a court due to rain/unplayable conditions, you will receive a full refund of your guest fees.

If you cancel your court ahead of time due to the weather or illness, you will receive a full refund of your guest fees.

If you cancel your court for some other reason, a $2 administrative fee will be taken off the refund to cover transaction and administrative costs.

The refunds are done manually. It may take 2 weeks before the credit shows up on your statement. 

If in doubt about the weather, call the Clubhouse to check, or simply cancel the court yourself (before the booking starts) to assure your refund.

No refunds are given if the guest booking was never cancelled. (Remember bookings should always reflect who's on court. You can edit your court reservations.)

 

Q: Can I just show up with a guest? Pre-booking Guests vs Drop-in Guests

Members are encouraged to book and pre-pay via credit card for their guests ahead of time to ensure access to a court and pay $20/guest/day. Use the Singles with Guest or Doubles with Guest reservation types to make these bookings.

 

A member can show up with one or more guests and play if there is availability. Payment of $20 per guest must be paid by Electronic Money Transfer (EMT) sent to treasurer@quintetennis.org  or cash via the guest fee box inside the clubhouse.


Signing up for Clinics/Jr Programs

 

Q: How do I sign up for Clinics/register for clinics or programs?

The Clinics signup works best from a browser.

Login to Court Reserve at https://app.courtreserve.com/Online/Portal/Index/11240

Hover your cursor over Clinics and click on the list of clinics you are interested in signing up for; for example, Kids Camp week of July 1

In you are on a browser, click Details to see what the event is like, and then click on Register if you want to sign-up.

 

Q: How can I see only clinics that still have room?

Choose a category under Clinics.

In the Visibility box, it will tell you how many spots are still available.

 

 

Q: I cannot see the program I want for my child. How do I register?

If your child is not yet old enough for an age-restricted program that you want to put them in, you will not yet be able to see the program under Clinics. If your child will be the right age by the time the program starts, you can still get registered.

Only fully paid registrants have their spots secured.


Managing Family

 

Q: What are the benefits to having my immediate family members grouped together in Court Reserve?

The benefits of being grouped as a family are many. Primary users will be able to:

Book courts not only for themselves but also on behalf of any member in the family

Purchase memberships or trigger membership renewals for himself and each member of the family

Elect to pay one combined bill for all the membership dues owed by the entire family

Register for clinics and club activities which you and any other member of your family qualifies for

 

Q: How do I edit my account to allow my child to book for him/herself?

Login to Court Reserve.

Hover over My Account, select My Family

Select the Edit button next to your child's name in the family list and go to Personal Information

Click on the checkbox "Allow Child to Login and Use Booking Privileges"

Enter your child a unique email in the email field OR give him a unique username.  (Note: You can't share emails in Court Reserve; the system needs to be able to differentiate each person)

Enter a starting password and confirm password

Press Save changes.

Share the login credentials you created with your child, and she or he will now be able to log in on her or his own.

 

Q: How do I become part of a family?

If you are signed up on QTC's Court Reserve as an individual but want to be grouped together with immediate family members, please email quintetennisclub@gmail.com to let us know. You will need to specify which person will be the primary member and categorize the other family members as either Spouse or Child. Note that sons and daughters who are 18 or over should have their own adult or student over 18 membership.

If you are just now signing up in Court Reserve at QTC, you can create a family grouping for yourself when you create your account.

Q: How do I add QTC Court Reserve account for myself and my family?

Unless you already have a Court Reserve account at another club, follow the steps below to add a QTC Court Reserve account for yourself and any immediate family members.

If you already have a Court Reserve account at another club, see the instructions in the next FAQ.

 

Creating Court Reserve accounts for you (and your family) is the first step towards adding a paid membership.

 

Add yourself to Court Reserve for QTC with these steps:

Go to https://app.courtreserve.com/Online/Portal/Index/11240

Select the blue “Create Account” button

Enter the requested data on the “Create Account & Request Access for Quinte Tennis Club” form

You must specify a unique email that is not already assigned to another account on Court Reserve.

Do not select “Unsubscribe from marketing emails”. This field is misleadingly named since the club never sends marketing emails. Choosing this option will prevent you from getting important club emails.

Read the terms and conditions. To agree to the terms of use, check the box at the bottom of the form and then check the reCaptcha box to verify that you are not a robot then click the blue “Create Account” button.

View the waiver form, click the read and understood box and sign the waiver and save the signature.

You should now be logged onto the Court Reserve website for QTC. Click on the blue “Join Organization” button which will show QTC memberships that are currently available.  Read about our Memberships here.

 

Add your immediate family and link to your account

Select My Account->My Family from the top menu bar or My Family from the left menu bar.

Click on the +Add New Family Member button

Enter the required information for the new family member

If adding a child (aged 4-17):

Select child as the family role

If your child has their own email, you can enter that one. Do NOT enter YOUR email in your child’s email field. Each user on the system must have a unique email, or it can remain blank if you don’t wish your child to log in to the system on their own. (You can book courts for them from your Non-member Guardian ID)

Click Save Changes

Repeat steps 2-4 for the next family member, if applicable

Once a membership has been selected for all family members, complete payment via credit card or via e-transfer.

 

 

Q: I already have a Court Reserve account; how do I add myself and family to QTC's Court reserve?

If you are already on Court Reserve with another club, you must join Quinte Tennis Club through your original Court Reserve account. If you try to create a new account directly on the QTC Court Reserve pages, you will get an error message since your email is already registered for the other club. Court Reserve uses email to uniquely identify each person and will not let you create a “new person” with the same email.

 

Follow these steps to add Quinte Tennis Club to your existing Court Reserve account:

1. Sign onto the other club, hover over your name and then click on My Organizations, and then Add an Organization

2. Type Quinte Tennis Club in the Search for Organization textbox and select it

3. On the Request Access for Quinte Tennis Club form:

Confirm your personal information that was retrieved from your other club

Update any information as required and the update will reflect in both clubs

Fill out all mandatory fields specific for QTC

4. Press Request Access and you will automatically be added as a user the QTC


Understanding error messages

 

What are the Court Reserve reservation rules?

Error messages generally indicate that you are asking for something the booking or reservation rules do not allow.

 

"Reservation would create a 30 min gap of unusable time"

The booking system is set to not allow the creation of 30 minute booking gaps. The intent is to make the most efficient use of courts.

 

"Validation Error! Reservation start is exceeding allowed time, Member x is allowed to reserve up until 20XX-XX-XX x:xx XM" means what?"

This message means you tried to book a court too far ahead of time for either yourself or one of the other people in the booking. You can only book a court 7 days ahead.

 

"Validation Error! You are exceeding number of allowed minutes to reserve per week" means what?"

A Non-member Guardian (a parent with a child taking instruction at QTC but who is not a member) cannot book a court or be booked on a court as a member.

If an attempt is made to do so, this error occurs.

A Non-member Guardian can be booked as a guest by any member including their child who has a junior membership.

 

"Validation Error! You have reached max number of minutes allowed to reserve per week" means what?"

If any member on the booking exceeds his maximum allowed hours, the booking will fail with this error. The person with too many hours cannot be booked until he uses up some of his booked court time.

Unfortunately, the error does not specify which member has used up their booking time. Each person can see how much time they have on the system, by looking under My Account and then looking in My Reservations and counting the hours booked. Note that lessons, clinics and club activities do not count toward the maximum hours.

 

"Sorry, this email is already registered" means what?"

If you try to add a Court Reserve account with Quinte Tennis Club and are told that your "email is already registered," it means that you already have an account with us or with some other club that uses Court Reserve.

The email address identifies you as the same person across multiple clubs.
